Duties: Management of documentation received from user departments informing of a loss: Receipt and sorting of documentation received, recording of all documentation received or outgoing in a control register, verifying whether it is an existing file or a new matter, Distribution of documents to the relevant official responsible. Assessing the completeness of the documentation and information received: Inspecting and perusing the documentation and information received to ensure that it meets the required standard (e.g. completeness of reports), Verify if all the following documentation as prescribed are attached; a) A loss control form; b) Trip authority; c) A police report and case number; d) Identity Document(ID); e) Driver’s License; f) Statement from the driver, Follow up on all outstanding issues. Issuing of Loss number: Registering Incident in Control Register, Capturing Incidence on FIS. Closing of Stolen Vehicle Contracts: Closing the contracts of stolen vehicles on FIS, Update of stolen and recovered vehicles status on FIS system, Follow-up with ICT if contract does not close, Consolidation of weekly reports.

Duties: Capture Chauffeur Services requisitions: Capturing trip requests, monitor pending list, allocate requisitions accordingly, Confirmation of services to be rendered to client. Ensure that all vehicle expired license discs are checked receive and placed on the vehicles: Regularly inspection for validity of license Discs, ensure that user department receive license discs, keep record of received/distributed license discs. Dispatch and receive vehicles to/from clients: Verification of all service-related documentations, Inspection of vehicle. Apply proper chauffeur services and information management on the web-based Fleet Information System (FIS): Monitoring of captured chauffeur trips, Keep record of daily chauffeur activities.

Duties: Keep the invoice registers and statement of accounts: Record all incoming invoices in the register showing date received and service provider, calling all service providers to submit or upload invoices on EIS, contact all service providers to submit statement of accounts at month –end, sending confirmation of letters to service providers to confirm outstanding balances, Ad –hoc responsibilities as delegated. Records keeping (Filing): Filing of all important documents for accounts payables. Getting certification from project managers: Ensure that the invoices received are submitted to the relevant project managers for signatures. Managing messaging of all documents (claims and invoices) for scanning at e-gov: Liaising with messengers for documents that must be sent to e-gov department. Sending remittance advice to the service providers: Ensure that remittance is sent to service providers after a run.
